Role Purpose 


The Club Secretary is responsible for the effective administration, governance, and compliance of the Club. The role supports the executive committee by maintaining accurate records, coordinating formal meetings, and acting as the primary liaison between the Club and the University of Sydney Union (USU). 


Key Responsibilities 


  • Maintain accurate and up-to-date administrative, membership, and governance records 
  • Coordinate and administer all formal meetings, including Ordinary, General, and the Annual General Meeting 
  • Prepare and distribute meeting notices, agendas, and supporting documents in collaboration with the President 
  • Record, maintain, and submit meeting minutes and post-meeting documentation within required timeframes 
  • Act as the primary liaison between the Club members and USU Clubs staff
  • Book rooms for the Club as appropriate
  • Support the executive committee with administrative operations and ensure effective handover processes 
  • Complete a handover to incoming Secretary and any other Executive as required.
