Submitting your Inaugural General Meeting Notice

Planning your IGM

You must give at least 14 daysʼ notice of your Meeting by posting the Agenda on the USU Website and your social media channels.
Your meeting must take place on the Sydney University campus* although we highly suggest a hybrid meeting for accessibility purposes.
- *All campuses and clinical sites of the University are considered to be University premises.

We prefer that if you need to submit your notice on a weekend that you provide more than 14 days, so we can process it on a business day,

When choosing a date, ensure that you are giving your membership at least 14 days notice for the meeting. Please note that your meeting must end by 9pm the latest.
When selecting a venue for your event, please note that you may only hold a meeting on campus. We recommend using Manning Meeting Room 1 or 2 as they have a smart screen – perfect for Zoom/hybrid meetings.

Registering your IGM with the USU

Navigate to MyUSU and find your Club Applicant Portal. If you don’t have access to this Group, please email clubs@usu.edu.au to gain access.
Go to Events -> Create Event. Clicking this will display the list of Groups you have permission to create an event for.
Since you’re a new club, you can only create a Meeting Notice. Please ensure that you use the IGM Notice Template. You will then have to fill out an event form.
The event description is where you add your agenda based on the template provided at the end of this document. It’s also provided under your resources. Add your Zoom link (if you have one), all executive positions individually, and ensure that you will be running a motion on accepting your societyʼs constitution. Please note that if you do not vote in your Constitution, your Club will have to hold another meeting to do so. Your Club will not be considered registered at this stage.

Once you submit your event, a member of our staff will review it and get back to you via email. Good luck!
